Photographer invoice template (shoots, licenses, travel)
A photography invoice is not a generic service bill. Clients need to see which shoot, which usage, and which extras they already approved — otherwise AP holds the PDF.
What belongs on a photographer invoice
- Shoot name and date matching the contract ("Acme product stills — 12 Oct, studio A").
- Deliverables: edited count, file type (JPEG, RAW, TIFF), gallery URL if you host one.
- Usage / license: web + social, print, billboard, time-limited, exclusive vs non-exclusive. Put the exact wording from the booking, not a slogan.
- Who is billed: the legal company, not the art director's nickname.
- How to pay: IBAN, Wise, Payoneer or the studio account the client already uses.

Deposits, kill fees and extras
- Booking retainer: invoice 30–50% when the date is held. Mark it clearly as a deposit against the job, not a random "fee".
- Kill / postponement: if the client cancels after you turned down other work, bill the contracted kill fee on its own invoice with the clause you both signed.
- Travel: mileage or flights + hotel as separate lines so the client can code expenses differently from creative fees.
- Second shooter / assistant / makeup: either pass-through (same amount you paid) or a marked-up production line — say which.
- Prints and albums: quantity, paper, and whether shipping is included.
Licensing notes that prevent arguments later
If the client later wants a billboard, a new territory, or perpetual use, that is a new invoice, not a "quick extra". Write the original usage on the first PDF so the second invoice has something to point at. Kitebill is a PDF and record tool — it does not generate a legal license for you.
Overseas clients and currencies

Questions
Should usage be a line item or only in Notes?
Put a short usage line on the invoice (so AP sees it) and the full clause in Notes. If usage is a large part of the fee, give it its own amount.
Can I invoice a second shooter through Kitebill?
Yes as a line. You still need your own agreement with that shooter. The PDF is not their contract.
Do I need Pro for a photographer invoice?
No. The generator and free plan print the same invoice layout. Pro is for more clients/invoices, expenses, CSV export and logo.
