Invoice template for freelancers in the UAE
Freelancers in Dubai, Abu Dhabi and across the Emirates often bill in AED or USD, sometimes need Arabic headings, and have to know whether VAT applies. Here is a practical summary, with official sources, as of Sep 2026.
VAT basics (as of Sep 2026)
- Rate: the standard VAT rate is 5% (u.ae).
- Mandatory registration: required when taxable supplies and imports exceed AED 375,000 over the previous 12 months, or are expected to within the next 30 days. Voluntary registration is possible above AED 187,500 (Federal Tax Authority).
- Not registered? Don't charge VAT or print "Tax Invoice". Issue a normal invoice.
What a UAE tax invoice includes
If you are VAT-registered, the FTA lists required details, including (FTA: Get to know your Tax Obligations, PDF):
- the words "Tax Invoice" clearly displayed,
- your name, address and TRN (Tax Registration Number),
- the recipient's name, address and TRN (if registered),
- a sequential or unique invoice number and the date of issue (plus date of supply if different),
- a description of the goods or services, and
- the total amount and the VAT charged.
In the generator or app, put your TRN in Tax ID and set Tax % to 5. The printed invoice shows the tax line and total. For a registered supplier, also type "Tax Invoice" in Notes or in your business name line, because Kitebill's title reads "INVOICE".
E-invoicing is coming: check whether it applies to you
The UAE Ministry of Finance has announced a phased electronic invoicing system. Voluntary participation began with a pilot from July 2026, larger businesses follow first, and other businesses later (MoF announcement, MoF eInvoicing page). Businesses in scope must work through an accredited service provider.
Kitebill makes printable PDFs and is not an accredited e-invoicing provider. Many freelancers bill clients abroad or are outside the thresholds, and they can keep using simple PDFs. If you are in scope, follow MoF/FTA guidance for your tax invoices.
