Kitebill

Free quote and estimate generator

Write a quote (estimate) for a client: what you'll do, what it costs, and how long the price holds. Pick English, English + Arabic or English + Urdu labels, then print or save it as a PDF. When the client says yes, turn it into an invoice in one click. No signup, and nothing leaves your browser.

In the print dialog choose Save as PDF. This page keeps nothing: when you close it, the quote is gone, so save the PDF.

"Make the invoice" opens the free invoice generator with the same client, lines, discount, tax and notes filled in. The details travel in the page address (after the #), which your browser never sends to a server, and are cleared as soon as the invoice page reads them.

Quote, estimate or invoice?

People use the words loosely, so say on the document what you mean.

Whether an accepted quote is legally binding depends on your contract and the law where you and your client are. This page is not legal or tax advice.

What to put in a quote

  1. Scope in plain words. "Homepage + 4 inner pages, 2 rounds of revisions" prevents most arguments later. List what is not included too.
  2. Line items and the total. Use the same lines you will invoice, so the invoice matches what the client approved.
  3. Currency. Quote in the currency you want to be paid in. If you bill abroad in USD, say so here, not on the invoice.
  4. A valid-until date. 14 to 30 days is common. It protects you if your costs or availability change while the client thinks it over.
  5. Payment terms you propose. For example 50% upfront and 50% on delivery, or Net 14 after the final invoice.
  6. How the client accepts. A reply by email saying "approved" is often enough for small jobs. Keep that email with the PDF.

From quote to invoice

Once the client says yes, the invoice should repeat the quote: same client, lines, discount and tax, plus a reference to the quote number. The button above does that for you and adds "As agreed in quote QUO-…" to the notes. Check the invoice number and due date, add your payment details (bank, Payoneer, Wise or PayPal), then print. If you're charging a deposit first, see the deposit invoice guide.

Not sure what to charge? The free freelance rate calculator turns the income you want into an hourly, day and project rate, and the payment terms calculator shows the due date for Net 14, Net 30 and more.

Questions

Is this quote generator free?

Yes. There is no signup and no limit on how often you use it. The printed quote has a small "Created with Kitebill" line at the bottom.

Is my data uploaded anywhere?

No. The quote is built by JavaScript in your browser and nothing is saved, not even a draft. When you click "make the invoice", the details are passed to the invoice page inside the address after the # sign, which browsers do not send to servers, and the page clears it straight away.

What is the difference between a quote and an estimate?

A quote is usually a fixed price for a defined job. An estimate is an approximate price when the scope is not settled. Write which one it is, and on an estimate say how far the final bill may move.

How long should a quote be valid?

Many freelancers use 14 to 30 days. This page sets 30 days by default; change "Valid until" to whatever suits your work.

Does the quote show my bank or payment details?

No. A quote is not a request for payment, so this page leaves payment instructions off. Add them on the invoice once the client agrees.

Can I make the quote in Arabic or Urdu?

Yes. Choose English + Arabic or English + Urdu. Headings such as "Quote no.", "Valid until" and "Total" print in both languages; your own text prints as you type it.
