Marketer & growth freelancer invoice template
Marketing invoices clear AP when the campaign name, period and what was included (vs ad spend) are impossible to misread.
What to put on a marketer invoice
- Campaign / retainer name matching the brief or Notion doc.
- Period: "October retainer" or "Launch week 29 Sep–5 Oct".
- Fee vs media: your service fee separate from ad spend you prepaid.
- Deliverables: posts shipped, landing pages, email sequences, reports.
- Payment path: studio account the client already approved.
Line items that match real retainers
| Engagement | Example lines | Tip |
|---|---|---|
| Monthly retainer | October growth retainer · 4 weekly reports · Slack support | List included hours or deliverable caps in Notes. |
| Campaign sprint | Product launch creative · 3 ad variants · landing QA | Invoice 40–50% to start if the sprint is large. |
| Ad spend pass-through | Meta ads top-up (receipt attached) · no markup | Say "at cost" vs "plus 15% media fee" explicitly. |
| Content pack | 8 LinkedIn posts · 2 carousels · stock license | Revisions: how many rounds are included? |

Reporting and proof of work
AP rarely reads your Notion board. A one-line report link in Notes ("October report: [URL]") plus the deliverable count on the invoice is enough for most clients. If they need screenshots of ads manager, attach those to the email — Kitebill stores the PDF fields, not creative files.
When the retainer changes mid-month
- Added platforms → new line on a supplemental invoice, or adjust next month and note the change.
- Paused spend → bill management fee per contract; do not invent a "pause discount" unless agreed.
- Rush creative → rush line with the % or flat fee from the SOW.

Questions
Should ad spend include tax?
Follow your local rules and the client's AP guidance. Many studios bill media net and tax only the service fee — confirm; this is not tax advice.
Can I invoice a subcontractor through Kitebill?
Yes as a line. You still need your own agreement with that contractor.
Do I need Pro for retainers?
No. Free plan works until you hit 3 clients / 10 invoices.
