Social media manager invoice template
SMM invoices clear when the platforms, period and included deliverables are listed the way the client already approved in Slack or the SOW.
Must-have fields
- Platforms: Instagram, LinkedIn, TikTok, X — which ones this period.
- Period and whether content was created, scheduled, or both.
- Volume: posts, reels, stories, community reply hours.
- Tools: Canva/CapCut/scheduling tools — included or pass-through?
- Ad spend: separate from management fee.

Deposits and pauses
Many managers take a first-month deposit before scheduling access. Use a deposit invoice. If the client pauses mid-month, bill the contracted kill/pause fee on its own PDF.
Access and ownership notes
Put in Notes who owns the ad accounts and page admin rights. When a contract ends, your final invoice should not be held hostage over login hand-off — list hand-off as a deliverable line if it is billable time.
Content calendars vs invoices
Do not paste the whole calendar into the PDF. Summarize ("12 feed posts + 8 stories as per Oct calendar") and keep the calendar in Drive/Notion. AP wants amounts; the marketing lead wants the calendar.
Multi-brand freelancers
If you manage three brands for one holding company, either three invoices (cleaner for each brand's budget) or one invoice with three clearly named sections. Free plan allows 3 clients — one per brand works well.
